Privacy Policy

Overview

Match Scanner (the “App”) is a barcode-driven inventory tool for small businesses, shops, and warehouses, provided by Rambody (“we”, “us”). This Privacy Policy explains what information the App collects, how we use it, who we share it with, and the choices you have, including how to delete your account and all of your data.

By creating an account and using the App, you agree to this Privacy Policy. If you do not agree, please do not use the App.

Information We Collect

• Account information: your name, business name, and email address, provided when you register. Your password is stored only as a securely hashed value. We never store it in plain text.
• Inventory data you create: products, barcodes, product codes, counts, par/minimum levels, invoice comparisons, and count history.
• Product and invoice photos: images you capture or select to identify products or read invoices.
• Technical identifiers: an account/tenant identifier and a device identifier used to sync your data and keep it separate from other accounts.

The App uses your device camera to scan barcodes and to take product and invoice photos. It does not collect your location, contacts, or advertising identifiers.

How We Use Your Information

• To create and authenticate your account and keep you signed in.
• To provide the App's core features: counting inventory, matching deliveries to invoices, building your product catalog, and syncing your data across your devices.
• To read product and invoice photos so we can identify items and fill in product details.
• To operate, secure, and improve the service, and to respond to your support requests.

We do not use your information for third-party advertising, and we do not track you across other companies' apps or websites.

How Your Information Is Shared

We do not sell your personal information. We share data only with the service providers we rely on to run the App, and only as much as each one needs to do its job:

• Cloud infrastructure providers that host the App and store your account, inventory data, and photos on secured servers.
• AI processing providers that read the text and labels in the product and invoice photos you submit, so we can identify items and fill in product details. They process your images only to return that result, and they are not permitted to use your content to train their own models.
• Public product reference databases that we may query to turn a scanned barcode into a product name and brand. Only the barcode number is sent for these lookups, never your account or inventory data.

These providers act on our instructions, under agreements that require them to protect your data and use it only to provide their service to us. We may also disclose information if the law requires it, or to protect the rights, safety, and security of our users and the service.

Our Website & Analytics

This section is about our website (matchscanner.app), separate from the App. When you visit the site we use analytics tools to understand how visitors find and use our pages, so we can improve them. These tools may set cookies and collect standard technical information such as your approximate region, device and browser type, pages viewed, and how you interact with a page (clicks, scrolling, and mouse movement). This is used only in aggregate to improve the website.

• Google Analytics: measures website traffic and usage. Google may set cookies to distinguish visitors. See Google's Privacy Policy.
• Microsoft Clarity: helps us see how pages are used through aggregated usage metrics and session replays (recordings of interactions such as clicks and scrolling on the page). We use this only to improve the site, and it does not capture the contents of your App account. See Microsoft's Privacy Statement.

You can opt out by using your browser's privacy settings or controls to block cookies and analytics scripts. This website analytics is not connected to your App inventory data, and we do not use it for third-party advertising.

Data Retention & Security

We retain your account and inventory data for as long as your account is active. Temporary images used for photo recognition are automatically deleted shortly after processing. Data is transmitted over encrypted connections (HTTPS) and stored on secured cloud infrastructure with access controls.

Deleting Your Account & Data

You can permanently delete your account at any time from within the App: open the Account menu (tap your name on the home screen) and choose Delete Account. This permanently and irreversibly erases your account and all associated data (products, counts, photos, invoice comparisons, and history) from our servers.

If you are unable to access the App, you can request deletion by emailing us at the address below and we will delete your account and data.

Children's Privacy

Match Scanner is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. The most current version will always be available at https://matchscanner.app/privacy/. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
